A material BOM and a change number for every revision

In SAP S/4HANA a design becomes a set of products and a material BOM, and a change to the BOM is recorded under a change number. Doing that by hand for every assembly and every revision takes time and invites typing errors.

ERP Integrator for desktop applications is a SOLIDWORKS add-in. From the open assembly it reads the custom properties of every component, applies your company rules and brings SAP up to date: products, the material BOM and each BOM item. The check and the AI assistant run in task panes next to the model.

Send

The all-levels send to SAP S/4HANA

Open the assembly and run the all-levels send from the ERP Integrator tab. The result dialog has a row per item with the status of the BOM header, the product and the BOM items, so you see what was created, what was updated and what was already current.

  • On this resend nothing had changed, so every row reads Update skipped.
  • Parts without a BOM show Not Applicable in the BOM columns.

The material BOM and its change number

In SAP the products carry their descriptions from SOLIDWORKS. The material BOM of the engine assembly lists the eight components with quantity and unit, each BOM item under an engineering change number, with the same structure the assembly has.

  • Fixed values such as the product type and the unit are set once in the mapping.
  • The mapping also says which SOLIDWORKS property fills which SAP field.

The ERP Data pane compares SOLIDWORKS and SAP for every line of the assembly. The cap screw's description was changed in SOLIDWORKS after the last send, so its cell is red; everything that still matches has a green check.

Rules and AI

Product types by rule

Type the rule into the AI chat: parts with screw, ring or pin in the description are bought in, so they become trading goods; every assembly is a finished product; everything else is semi-finished. The AI checks the SOLIDWORKS descriptions and the SAP product fields, writes the rule into the macro and compiles it.

  • Only whole words count, so the conrod bearing stays semi-finished.
  • The AI points out that the fixed product type in your mapping is no longer what goes to SAP once the rule is in place.

The Preview Data tab shows the products exactly as they would be sent: both assemblies FERT, the conrod cap screw HAWA, the other parts HALB. SAP has not been touched at this point; saving and sending are your call.

Questions and search

Asking SAP a question in plain words

Ask whether the component quantities of the assembly match SAP S/4HANA. The assistant reads the BOM in SOLIDWORKS and the BOM items in SAP and answers with a table: all eight components match. Ask which parts already exist in SAP and with what product type, and it answers that all nine are there, still spare parts until the new rule is saved and sent.

  • A ChatGPT sign-in, or a coding agent such as Claude or Gemini.

Which SAP S/4HANA objects does the SOLIDWORKS send create?

Products with description, base unit, product type and plant from the mapping; a material BOM for each assembly; and a BOM item for every component with quantity and unit, created under an engineering change number with a valid-from date.

What happens on a resend when nothing has changed?

Items that are already current are skipped, and the result dialog shows Update skipped on each row. Parts without a BOM show Not Applicable in the BOM columns.

How are product types such as FERT, HALB and HAWA decided?

A fixed product type can be set once in the mapping. When it depends on the part, a rule in the macro decides. In the demo the AI chat wrote one: parts with screw, ring or pin in the description become trading goods (HAWA), assemblies finished products (FERT), everything else semi-finished (HALB). Only whole words count, so the conrod bearing stays HALB.

Can I check what SAP holds without leaving SOLIDWORKS?

Yes. The ERP Item Details pane in SOLIDWORKS reads the product live from SAP, and the ERP Data pane compares SOLIDWORKS and SAP for every line of the assembly, with a red cell where a value such as a description has changed since the last send.

Which AI does the chat use, and can it send on its own?

You choose: your own key for Claude, OpenAI, Azure OpenAI or a compatible model, a ChatGPT sign-in, a coding agent such as Claude or Gemini, or your own assistant through the MCP connector. It proposes and previews; the mapping, the macro and SAP only change after you approve.

Is SOLIDWORKS PDM required, and are other ERPs supported?

PDM is not required; the add-in reads the open assembly. With PDM, use SOLIDWORKS PDM to SAP S/4HANA. The same product also connects to Business Central, Dynamics 365 Finance and Operations and SAP Business One, chosen at installation.
