ERP Integrator for Excel · Excel add-in

Excel to SAP Business One Integration

Keep your bills of materials in Excel and send them from the ribbon: ERP Integrator for Excel turns every row into an item and every parent into a bill of materials in SAP Business One, with your company's rules applied, and shows in Excel where the workbook and SAP Business One differ.

Excel and SAP Business One

The workbook you already keep, sent to SAP Business One

Many companies keep their bills of materials in Excel, and every row has to become an item, and every parent a bill of materials, in SAP Business One. Typed in by hand, that is slow and easy to get wrong.

ERP Integrator for Excel adds an ERP Integrator tab to the Excel ribbon. It reads the item number, description, parent and quantity of every row, a mapping decides which column fills which SAP Business One field, and an optional macro holds the rules that go further.

  • Rows become items

A parent column and a quantity column build every bill of materials level.

  • Differences in red

ERP Data compares the workbook with SAP Business One.

  • Columns mapped once

Which column fills which field, and fixed values such as the item group.

  • Rules in plain words

The AI writes the rule, you approve, the preview shows the result.

Excel to SAP Business One: send, check and add a Buy/Make rule

A gear unit workbook is sent all levels from the Excel ribbon, its items and bill of materials are opened in SAP Business One, a changed quantity is caught in Excel and the assistant previews Buy and Make before anything is sent.

How it works

From workbook rows to SAP Business One

Excel workbook with the ERP Integrator ribbon tab: Send Data to SAP Business One and Send to SAP Business One all levels, and rows with No, Description, Parent_Item_No and Quantity_per

Your workbook

Rows, parents and quantities

The workbook holds what you already keep: the item number, the description, the parent item and the quantity per parent. The ERP Integrator tab on the ribbon sends the selected item or the whole structure, and opens the ERP views and the AI chat.

ERP Integrator send dialog in Excel: six items Created in SAP Business One, BOM lines Created\Updated for the gear unit and the input shaft sub-assembly

Send

Send to SAP Business One, all levels

On the ribbon, send the workbook all levels. ERP Integrator reads every row, applies your rules and creates everything in SAP Business One: the items, the bills of materials for the assembly and its sub-assembly, and every line. The result shows what happened to each item.

Result in SAP Business One

Item master data and the bill of materials

All six items are in the SAP Business One item master data with their descriptions from the workbook. The bill of materials of the gear unit lists its three lines with their quantities: the same as in the workbook.

Check in Excel

Live SAP Business One data inside Excel

Nobody has to leave Excel to check. Show ERP item details shows the item live from SAP Business One, and ERP Data puts the workbook and SAP Business One side by side. One quantity has since changed in the workbook, so the difference stands out in red, and the tooltip shows both values.

Rules and AI

Your company rules in plain words

What goes where is set up once: which column fills which SAP Business One field, and fixed values such as the item group. For rules that go further, describe them in plain words: bolts and bearings are bought, everything else is made.

The AI checks the field in SAP Business One and the current macro, asks for your approval before it changes the macro, writes the rule, checks that it compiles and previews the result on the real workbook: the bearing and the bolt are set to Buy, the rest to Make. Nothing has been sent yet.

AI chat in Excel: every BOM line matches SAP Business One except the hex bolt, 8 in the workbook and 6 in SAP Business One

Questions

Ask whether the workbook matches

Asked whether the quantities in the workbook match SAP Business One, the assistant compares the rows with the live bill of materials and answers: every line matches, except the hex bolt, eight in the workbook and six in SAP Business One.

Search

What already exists in SAP Business One

Ask which of the items in the workbook already exist in SAP Business One: the assistant queries the ERP and answers in one table. All six are there, so the next send updates them instead of creating new ones.

The assistant works with your own key for Claude, OpenAI, Azure OpenAI or a compatible model, with a ChatGPT sign-in, with a coding agent such as Claude or Gemini, or with your own assistant through the MCP connector. Whatever it proposes, nothing is changed until you approve it.

FAQ

Questions about Excel and SAP Business One

What does the workbook need to contain?

A row per item with its number and description, and for bills of materials a parent item column and a quantity column. Which column fills which SAP Business One field is set in the mapping, so your own column names work.

Does it create bills of materials on several levels?

Yes. Send all levels creates the items and a bill of materials with its lines for every parent in the workbook, in the demo the gear unit and its input shaft sub-assembly.

Can it compare a bill of materials as of a date?

No. A workbook has no history and SAP Business One keeps one current bill of materials per item, so ERP Data compares the workbook as it is now with the current rows in SAP Business One. For history, use the integration from Autodesk Vault or SOLIDWORKS PDM.

Which AI models can the assistant use?

Your own key for Claude, OpenAI, Azure OpenAI or a compatible model, a ChatGPT sign-in, a coding agent such as Claude or Gemini, or your own assistant through the MCP connector. The assistant can read both systems, but the field mapping, the macro and the ERP data change only after you approve.

Which ERPs and applications does the same engine support?

ERP Integrator for Excel connects to Business Central, Dynamics 365 Finance and Operations, SAP S/4HANA, SAP Business One and Odoo, chosen when you install it. The same engine runs in Autodesk Vault, Autodesk Inventor, SOLIDWORKS and SOLIDWORKS PDM.
